- Location, location, location! Make sure it’s easy to get to the conference from the hotel.
- Be sure to think about the amenities and services your group will need.
- Understand how the rooms will be booked and paid for.
- Skipper makes the whole process completely seamless.
Finding the right hotel for your room block
Convenience is an important factor when planning a conference trip. Our Skipper Score designates each hotel with a number that shows you how compatible a hotel is with your needs.
The Skipper Score knows you don’t want to be too far away from the action, otherwise, you’ll miss out on invaluable networking and potential learning opportunities.
Choosing hotels recommended by the conference center is also a good way to end up with like-minded individuals and that’s when real business conversations happen.
If hotels are unavailable within one mile, you can always inquire about shuttle service. If you’re not a morning person, you can request a coffee maker in your room.
Also keep your eyes peeled for hotels with high-speed WiFi (preferably complimentary), early breakfast availability, and late checkout in case the conference runs past noon. Lugging around your luggage on the last day of a conference is never fun.
Companies going to conferences usually pay for their attendees’ rooms up front.
This makes it easier for employees to reserve their rooms. If this is the case for you, then we suggest assigning one person in the company to coordinate all the bookings.
If your colleagues are paying individually or you have business partners that would like to use your room block, be sure to let them know that you’ve arranged for group hotel accommodations. If you’re booking for a group that needs eight rooms or fewer, be sure to share your custom booking page for individual payment.
Making it easier
Booking a room block can be overwhelming, especially when handled internally.
Even if your company pays for a Travel Agent, that means additional fees and higher room rates. That’s where Skipper comes in handy.
If you need nine hotel rooms or more, you can search and request offers from your top four hotels (don’t forget the tips mentioned above!). Be sure to include details on all the amenities and conveniences your group requires.
Once you submit your group rate request, you’ll be assigned a personal Skipper Booking Advisor who will coordinate with the hotel sales managers to make sure your needs are addressed.
Have a question or need recommendations? Your Booking Advisor will be happy to help. What’s more: they’ll help you score an average of 15% off the best available rates.
Your Booking Advisor will give you a heads-up whenever you receive a new offer from one of your selected hotels. You can view all the offer details on your personal Skipper Trip Dashboard.
Once you’ve decided on the group rate offer that best serves the needs of your group, your preferred hotel will upload an electronic booking agreement for you to e-sign.
The hotel will also sign the agreement to ensure that all parties involved are on the same page. Your Booking Advisor will connect you to the hotel contact responsible for your group reservation.
If only a small group is attending the conference, you can still book a discounted group rate with Skipper. Simply, choose your hotel and rooms, and pay for the rooms in full or pay separately.
If you choose the latter, send your custom booking page to the rest of your group for individual payment. Let the booking begin, and enjoy the conference!
